Together we are more than 5,000 dedicated faculty, librarians and staff supporting the University of Victoria’s diverse academic programs, world-class research and commitment to civic engagement.This posting is for two positions – 997850 and 993327*This position is eligible for a Hybrid Work Arrangement and a Modified Work Schedule*Job SummaryIn support of the overall goals of Research Accounting, a unit of the Financial Services, the Research Financial Assistant performs a variety of research grants related administrative functions using a variety of university software to assist in the daily operations of the department.Reporting to the Manager of Research Accounting, this position processes large volumes of domestic and foreign expense claims and payments funded through sponsored research. The position is also responsible for the daily monitoring and maintenance of all incoming funds for Research Accounting. This includes accurately allocating and disbursing payments, and posting amounts to appropriate FAST accounts.This position responds to inquiries from faculty, staff, and students related to expense-claims and policy and guidelines for sponsored research. Other tasks can include approval of journal entries, salary reallocations entries, correcting duplicated account charges as well as following up on aged invoices.This position also requires to have great computer skills as well as ability to learn new systems and processes due to the Department dynamic of implementing new projects that may impact the daily work of the Research Financial Assistant. This role may perform other duties of similar scope as needed.Job RequirementsExperience:
Must have a minimum of two (2) years of recent experience in a similar position, preferably in a post-secondary or institutional environment or an equivalent combination of education, training, and experience. Related work experience should include experience processing transactions and performing account reconciliations in complex financial and banking systems.Knowledge/Skills/Abilities:
- Demonstrated commitment to valuing the principles of truth, reconciliation and respect, equity diversity and inclusion, and contributing to an inclusive working and learning environment.
- Knowledge and understanding of Generally Accepted Accounting Principles including analysis, reconciliation, and foreign currency conversion, application of GST / PST / HST.
- Ability to process, interpret and administer written policy and guidelines to ensure compliance and adherence to necessary UVic and agency requirements while processing claims/audit reviews
- Accurate auditing and data entry skills with exceptional attention to detail.
- Ability to plan, organize and prioritize effectively, while working well under pressure with continual interruptions and manage time sensitive deadlines.
- Ability to maintain large Excel templates and produce comprehensive results from large quantities of data.
- Ability to think independently and apply sound judgment in problem solving.
- Excellent interpersonal and communication skills, including the exercise of sound judgment, tact, and diplomacy.
- Experience in effectively maintaining the confidentiality of highly sensitive information.
- Ability to work well both independently and within a team environment.
- Advanced proficiency with computer applications (i.e. MS MS Office, spreadsheets, and general business equipment) and willingness to learn new software.
- Experience with ERP systems, electronic reporting tools, electronic expense management systems and data analytic software (preferably Banner, FAST, Chrome River and ACL)
- Knowledge of cash management practices and online banking skills.
Specialized Knowledge/Education:
Secondary school diploma or equivalent.
