We’re hiring a detail-oriented Program Coordinator to join our team!In this role, you’ll help administer various Federal and Provincial grant programs that provide funding to municipalities for essential services and projects in areas like water, sewer, stormwater, planning, flood prevention, climate change adaptation, accessibility, and equipment for emergency service providers. You’ll support projects from the initial concept stage, guiding applicants on eligibility and program requirements. You will review applications, prepare and communicate funding terms and conditions, and regularly monitor project progress to ensure compliance with funding requirements.As part of a collaborative team, you’ll work closely with engineers and financial officers to support the successful delivery of these programs. You’ll also contribute to the development of program delivery policies and foster relationships with all levels of government and non-governmental organizations. If you’re organized, communicative, and committed to enhancing community infrastructure, we would love to have you on the team.Primary AccountabilitiesReporting to the Program Lead, you’ll play a key role in administering our project funding programs to ensure successful delivery to our clients.Key responsibilities include:
- Program Support: Assist with launching new application rounds, tracking and reviewing applications, drafting terms and conditions for grant approvals, and maintaining comprehensive project records.
- Guidance for Applicants: Provide essential support to applicants by communicating and updating program guidelines and terms, guiding them through the application process, and addressing project-specific questions for approved projects.
- Reporting and Communication: Prepare reports, presentations, and briefing notes for senior management, covering individual project issues, as well as the overall progress and outcomes of each program.
- Contract and Compliance Management: Draft contracts and amendments, conduct occasional site visits to monitor project progress, assess risks, and prepare necessary correspondence and financial reports.
Your contributions will ensure the smooth, compliant, and effective delivery of funding programs, supporting essential community infrastructure and development.Qualifications and ExperienceA Bachelor’s degree in Commerce or a related field is required, along with at least one (1) year of experience in program administration.You must demonstrate:
- The ability to develop and implement effective program policies and procedures.
- Exceptional organizational and time-management skills to handle multiple projects and deadlines efficiently.
- Proficiency in data entry and database management.
- Strong problem-solving skills, a keen eye for detail, and analytical skills to assess applications.
- Outstanding communication skills and the ability to prepare comprehensive reports, contracts, briefing notes and impactful presentations.
- Ability to work both independently and collaboratively within a team.
- Competence in Microsoft Office Suite (Word, Excel, PowerPoint).
While not required, it is highly desirable if you have:
- Experience working with federal and provincial grant programs related to municipal capital infrastructure.
- Familiarity with municipal government processes and infrastructure projects.
- A working knowledge of provincial environmental regulations, provincial procurement policy, aboriginal consultation, and the Municipal Government Act.
