Providing excellent client-centered care, you are confident, thoughtful, and motivated to achieve success when supporting others in your community.SUMMARYThe Program Coordinator assists the Program Manager with the day to day operations of Gianna Centre. This position supervises volunteers, and supports clients to ensure that excellent services are provided at Gianna Centre.Job Summary:Primary job duties may include but are not limited to:Service Coordination:

  • Assist in the development and implementation of practical and meaningful program options that benefit clients who access Gianna Centre.
  • Actively develop and promote engaging volunteer opportunities that help address client needs.
  • Obtain adequate information to support and ensure appropriate matches occur between volunteers and clients in a learning or interactive environment.
  • Conduct quarterly volunteer meetings to review processes and opportunity for quality improvement.
  • Design, develop, and improve support to the volunteers based on evaluation feedback;
  • Continuously review program structures in order to accommodate changing client and volunteer needs.
  • Monitor the day to day operations of programs.

Volunteer/Client Management:

  • Monitor, co-ordinate, and provide educational opportunities for the volunteers.
  • Lead special projects such as developing a training plan, presentations, volunteer handbook, revise the program manual, etc.
  • Ensure all volunteer and client paperwork are completed according to practice guidelines.
  • Update Program Manager, Director, and Volunteer Services about any new

developments of volunteer services and initiatives within Gianna Centre.

  • Meet with Program Manager, Director, and Volunteer Services regularly as scheduled.
  • Effectively communicate to Program Manager and Volunteer Services any concerns regarding unplanned changes and developments in volunteer programs.
  • Set up and facilitate quarterly volunteer meetings.
  • Coordinate client follow-up and aftercare with volunteers.
  • Monitor, co-ordinate, and provide educational opportunities for the volunteer contacts.

Administrative Duties

  • Assist in the development and implementation of the Gianna Centre Program Manual
  • Assist the Manager to ensure that classes are developed and implemented efficiently and effectively at the Centre.
  • Work with the Gianna Centre team to ensure compliance with the COA standards are in place.
  • Participate actively in the COA accreditation process;
  • Complete filing of documentation.
  • Develop and compile volunteer information packages, volunteer contact packages, and handbooks.
  • Collect and monitor all volunteer requests for Gianna Centre programs.
  • Monitor the daily activities of Gianna Centre ensuring data entry is accurately completed on a monthly basis and information is filed accordingly.
  • Prepare and submit monthly and quarterly reports on Volunteer statistics for Gianna Centre.
  • Compile and submit monthly statistics.
  • Compile and submit quarterly service review on volunteer initiatives.
  • Prepare and maintain volunteer files.
  • Supervise the completion and submission of consent forms, volunteer job descriptions, job reviews, monthly supervision and volunteer visit forms.
  • Coordinate the students for Gianna Centre; ensuring that all on-boarding documentation is completed and they have had an orientation to the program before they start.
  • Other duties as assigned

Contacts with Stakeholders

  • Assist in promoting positive public relations within the community.
  • Promote the Gianna Centre program to people in the community.

Staff Management

  • Co-facilitate on-going training and support to program volunteer contacts and volunteers.
  • Assist in registering volunteers for training.
  • Develop and provide adequate information on volunteerism to inquirers.
  • Monitor and review monthly supervision forms, job reviews, and performance evaluations of Gianna Centre volunteers
  • Maintain open and effective communication with clients and volunteers.
  • Provide appropriate supports (strategies, advice) to clients and volunteers.
  • Assist in promoting Gianna Centre programs.
  • Assist in the pre-screening, interviews and orientations of new clients and volunteers.
  • Complete all Agency required screening and on-boarding procedures for clients and volunteers.

Other Duties

  • Attend training/staff development programs.
  • Participate in Performance Planning.
  • Complete training/development as documented in Development Plan.

What This Job Requires:

  • Diploma or degree in a business discipline or a diploma or degree in Office Administration or equivalent.
  • At least 2 years of experience in administrative office work, graphic design and communications is preferred
  • Experience in the use of various social media platforms for business (Facebook, Instagram etc.)
  • General knowledge about pregnancy, fetal development, and fertility awareness required
  • Police Information Check including vulnerable sector search, and Intervention Record Check current within six (6) months
  • Summary of driving record with no more than six (6) demerit points current within one (1) year.
  • Required 3 years of driving experience
