Reporting to the Office Manager, you will support the team by processing paperwork, maintaining organized records, and ensuring that all office documentation is meticulously handled. - Communication Management: Answer phones, check emails, and forward inquiries to appropriate personnel, ensuring timely follow-ups with colleagues and customers.
- Record-Keeping: Follow established procedures for record-keeping and reporting, assist in preparing correspondence, brochures, progress reports, and other company documents.
- Coordination: Maintain communication with internal colleagues, external subcontractors, and vendors to ensure efficient workflow and project execution.
- File Management: Create, organize, and maintain company files, including client files, contractor agreements, progress reports, and HR records, ensuring that all information is accurate and up-to-date.
- Scheduling: Manage the office calendar, schedule meetings, visits, deliveries, installations, inspections, and coordinate travel arrangements for staff and customers.
- Meeting Support: Prepare, develop, and distribute meeting agendas and minutes, ensuring all team members are informed and aligned.
- Inventory Management: Track and manage office supplies, including job site materials and safety equipment, to ensure availability when needed.
- HR Support: Assist with HR-related tasks, including maintaining employee records, tracking and processing timesheets, and handling employee insurance documentation.
- General Office Duties: Perform other office duties such as filing, scanning, data entry, and assisting with special projects as assigned.
WHAT YOU BRING TO THE TABLE
- Post-secondary education, such as a diploma or certificate in office administration or a related field.
- 2+ years of experience working in an office administration role, preferably in a customer service or clerical environment.
- Strong data entry skills and attention to detail for accurate record-keeping and documentation.
- Proficiency in Microsoft Office, including Excel, Word, and Outlook; experience with office management software is an asset.
- Ability to thrive in a dynamic environment and manage multiple priorities effectively.
- Excellent communication skills to collaborate effectively with various departments and external partners.
- A strong commitment to your team; you’re ready to jump in and support them wherever possible. You truly excel in a team environment!
- High level of customer service skills, with a proactive approach to client interactions.
- Proficient English skills, both written and verbal, with strong communication abilities.
