Closing Date: October 29, 2024JOB SUMMARYReporting to the Supervisor, Licensing Records, the Licensing Records Administrator position is responsible for providing administrative and records management support to the Regulatory Services Division by creating and maintaining all incoming charitable gaming, liquor and cannabis files. Key areas of responsibility will include:

  • Receiving, printing, scanning, stamping and distributing all incoming documents received via email, fax and hard copy.
  • Logging all incoming documents into the Gaming Licensing System (GLS) and the AMANDA system (MERA).
  • Creating and maintaining all files for charitable gaming, liquor and cannabis.
  • Updating all contact information for charitable gaming organizations including their executive.
  • Contacting organizations when documentation is incomplete or incorrect.
  • Retrieving archived files when requested and providing Records Management the information they require via RecordPoint for retrieval.
  • Filing all new incoming documentation for liquor, cannabis, charitable gaming, and casino facility files.
  • Recording and archiving inactive charitable gaming, liquor and cannabis files.

Well-developed organizational skills and prioritization ability is required as this role will involve the handling of multiple tasks simultaneously including a high volume of electronic and hard copy file maintenance.To be successful in this role, you will need to possess strong computer skills including proficiency in MS Suite, well-developed interpersonal skills, the proven ability ensure a high level of accuracy when meeting deadlines, strong file maintenance skills and a comfort level working independently within a team environment.SKILLS & ABILITIES

  • Completion of Grade 12 is required.
  • 1 year of related administrative/records experience is required.
  • Post-secondary education or courses taken with a focus on Records Management is beneficial.
  • Extensive knowledge of Microsoft Office Suite of products.
  • Public Sector administrative experience would be considered an asset.
  • Knowledge of AGLC policies, procedures and handbooks would be considered an asset.
