Job description: The Facility and Land Inventory Management Unit provides real estate services to the corporation and the general public. This includes activities such as monitoring/inventorying 8000 titled, city owned properties and services that contribute to facilitating real estate development throughout the city.This position will engage in diverse technical and administrative work involving a variety of business processes. The position will provide technical support to the Facility and Land Inventory Management Unit which includes completing research, file preparation, organizing and routing legal documents for signature, assisting with tasks related to managing contracts/agreements and performing data inventory maintenance/documentation/reporting.What will you do?
- Process and research files related to managing city land inventory, property sales circulations, property offerings, and URW circulations, etc.
- Pull land title certificates and legal URW instruments from SPIN as needed
- Interpret maps and plans to assess where URW’s and easements are located
- Complete document registration request forms for land titles to document registration
- Research Bylaws to determine if road closure areas have been registered
- Create Utility Right of Way agreements to ensure utility infrastructure is protected in advance of land transfers or sales
- Create files in POSSE and electronically with write up circulation memorandums regarding the disposition of city land
- Manage the first phase of the circulation file by forwarding a circulation notice via Smartsheets to City departments and various agencies
- Consult with the Development Coordination Section to determine if caveats can be discharged from title
- Compile all received circulation responses and file
- Regularly ensure internal and external stakeholder circulation contacts are current and up to date
- Regularly update database using Excel, Google Sheets and POSSE ensuring accurate inventory of all registered instruments
- Update Legal Templates as needed
- Print, organize and track hard copy documents for signature routing to designated offices and ensure all signatures and seals are obtained as required
- Provide assistance to retrieve and proof data from all Unit data sources for reporting purposes
- Perform other related duties as required
Qualifications
- Completion of the 12th school grade or GED including business subjects with emphasis on general office practices or completion of an appropriate certificate program from an approved business school/college
- A minimum of 2 years progressively responsible experience in general office practices including data entry, file preparation, data entry, drafting memos, and maintaining accurate data upkeep
Assets:
- Experience with work flow software such as POSSE
Skills required for success:
- Knowledge of data collection methodology and research skills
- Understanding of land titles, land surveys/maps and land-related legal agreements
- Land Conveyancing experience
- Knowledge of Smartsheets Excellent data entry and computer skills using various applications including Google Chrome and Microsoft Office Suite
- Ability to work efficiently and effectively with a high level of accuracy under tight timelines
- Strong interpersonal skills and the ability to establish and maintain effective working relationships
- Demonstrated customer service experience and the ability to deal with clients in a professional and respectful manner
- Must be adaptable, flexible and well organized

- Note: This position may be eligible for a hybrid work arrangement with the flexibility to work from home one day a week and 4 days on the worksite as per the Letter of Understanding between the City of Edmonton and Civic Service Union 52.
