This is a part-time position with a schedule of Monday to Friday, 7am-12pm.Description:
Reporting to the Base Manager, the Customer Service Agent / Administrative Assistant works to support all customer service, fuel operation logistics and administrative needs of the Kamloops location.Responsibilities:
- Perform general administrative and operations support duties, including but not limited to:
o Acting as the first point of contact, answer the telephone, respond to emails and direct incoming calls and guests.
o Prepare documents, letters, reports, filing, faxing, scanning, photocopying, data entry, etc.
o Input work schedules for employees into Ceridian Dayforce as assigned.
o Organize invoices, accounts payable, and aircraft billing via EFC’s SRS platform and enter in Shell DCS(SkyPad).
o Maintain and collect data, accurately calculating, billing and pricing structure.
o Assist the Base Manager with pricing and budget administration.
o Assist and coordinate the successful execution of any operational plan.
o Provide and complete assigned operation analysis information to management as required.
o Facilitate and order supplies and equipment as required, while maintaining adequate and organized stock/inventory.
o Prepare, organize and input data from truck manifests, tank logs and fuel workbooks ensuring compliance with procedures, policies and regulations.
- Perform Customer Service Agent duties, based on operational requirements, and support irregularly scheduled flight times by:
o Greet and check-in passengers, take reservations and process customer payments.
o Generate computer flight manifests, coordinate check-in process and verify passenger counts.
o Issue boarding passes, check travel documents and ID, check in baggage and direct passengers to designated area.
o Lift passenger bags as required up to 60lbs.
o Push wheelchairs and assist customers with mobility issues as required.
o Process missing/damaged baggage and incident reports as required.
o Provide flight information to crews and 3rd party companies.
o Arrange transportation and hotels for customers as requested.
o Effectively communicate with customers and flight crews by phone, radio, email or in person to provide a positive resolution to requests, requirements, grievances, or concerns.
o Build and maintain positive relationships with customers leaving a lasting impression.
- Create, monitor, and report on weekly and monthly logistics key performance indicators.
- Acting as a Safety Committee member.
- Coordinate, plan and track all FLRA’s and toolbox meetings for all employees.
- Demonstrate effective comprehension of all security procedures and regulations.
- Perform Ramp Agent responsibilities as required.
- Maintain a tidy and orderly work area exhibiting pride in work performance and contributing to a healthy and safe work environment.
- Ensure exceptional, courteous, and respectful customer service.
- Comply with and participate in the Company’s Health & Safety and Quality programs, audits and initiatives.
- Perform any other duties as required.
Experience and Qualifications:
- Completion of a certificate or diploma in a related field is preferred.
- Minimum of two years administrative experience required.
- Minimum of two years customer service experience required.
- Previous work experience in the aviation field with an understanding of ramp and fueling procedures is preferred.
- Strong knowledge of Microsoft Office products, including Excel, Word, and Outlook is required.
- A valid Class 5 Driver’s License with no restrictions is required as a condition of employment.
- Airport Security Clearance and Driver’s Abstract is required as a condition of employment.
- Highly motivated and able to work independently as well as in a team environment.
- Well-developed time management skills with the demonstrated ability to meet/exceed deadlines.
- Excellent interpersonal and communication skills, both written and verbal.
- Experience in managing third-party logistics providers.
- Solid project management skills are essential.
- Good financial and business awareness.
- Professional appearance and behaviour while providing superior customer service.
- A high level of confidentiality is required.
- Strong attention to detail and a high degree of accuracy.
- Sound analytical thinking, planning, prioritization, problem-solving and execution skills.
- Professional, punctual, meticulous, and diligent.

- Able to lift or move up to 60 lbs independently.
- Able to work collaboratively as a productive member of the EFC Team.
