Job description: The Dean’s Office at the Atlantic Veterinary College (AVC) is inviting applications for a full-time, in-person, permanent Administrative Assistant position. The successful candidate will provide senior-level administrative and operational support to personnel within the AVC Dean’s Office.RESPONSIBILITIES:Provide comprehensive administrative and operational support to AVC Dean’s Office PersonnelWelcome visitors, faculty, staff, and students, and provide them with relevant informationAssist in monitoring AVC central costs accountsProvide administrative and operational support for AVC contractsProcess and track AVC recruitment expensesCoordinate, track and process accommodations and travel for visiting lecturersProvide administrative and operational support to AVC Dean’s Council including preparing agendas, meeting materials and minutesMaintain and update AVC Policies and Standard Operating Procedures (SOPs) and Emergency Building plan on the AVC websiteUpdate AVC telephone, e-mail, and committee membership listsCoordinate bi-annual Advisory Council meetings and take minutesTracking and processing sabbatical applicationsDraft correspondence, compile spreadsheets, and create PowerPoint presentations for the Dean and the other personnel as neededManage and initiate safety supplies ordering, including Rabies vaccines and laboratory coatsOrganize the annual review of the college’s emergency plansLiaise with UPEI Security Services and other departments on fire drills and maintenanceProcess AVC key requests, after-hours access, and lock alteration authorization formsMaintain AVC space inventory and coordinate bookings in 25 Live roomMaintain office supplies and repository of resource materialsOrganize and maintain a confidential filing system for department recordsEnsure that general space in AVC, including the Dean’s suite, are well maintainedPerform additional duties as assignedQUALIFICATIONS:Post-secondary education in Office Administration or equivalent combination of education and experience, with at least five years of relevant work experience, preferably in university settingAdvance proficiency in Microsoft Office suite and familiarity with evolving technology relevant to the roleExcellent work ethics and reliabilitySelf motivated and strong ability to learn independentlyExceptional organizational and time management skillsStrong attention to detailExcellent oral and written communication skills, with demonstrated ability in grammar and compositionCommitment to diversity, equity and inclusionAbility to work independently and collaboratively while demonstrating diplomacy, sound judgement, and confidentialityAbility to manage multiple tasks amid changing priorities and take initiative where necessaryProven ability to meet deadlines in a dynamic environmentASSETS:Familiarity with higher education environment, policies & proceduresExperience working in a diverse environmentApplication Instructions:Please submit electronically a cover letter, quoting the competition number, a resume and reference list to be received no later than the closing date via the link below.If you are unable to apply online, you can drop off your resume to the Human Resources Department, Kelley Building, University of Prince Edward Island, 550 University Avenue, Charlottetown, PEI C1A 4P3, Fax Number 902-894-2895.UPEI is committed to equity, diversity, inclusion, and reconciliation and believes in providing a positive learning and working environment where every person feels empowered to contribute.
