Lambton County is a community dedicated to economic growth, environmental stewardship and an enhanced quality of life through the provision of responsive and efficient services and collaborative efforts with its municipal and community partners.Position SummaryProvide administrative assistance to the Medical Officer of Health (MOH) in a wide range of duties related to scheduling and booking, supporting projects and initiatives, and ensuring the accurate and timely completion of routine and non-recurring administrative activities. Provide back-up support and additional capacity to Administrative Assistants – Lambton Public Health as required.Job Duties and ResponsibilitiesAdministrative Support/Liaison:
- Assist MOH in management of schedule (calendar, appointments, schedule, and coordinate meetings, etc.)
- Conduct preliminary research as requested by the Medical Officer of Health
- Prepare presentations and other communication products for internal and external audiences
- Develop and distribute operational procedures and responses on behalf of the Medical Officer of Health
- Maintain and update the records management system for the Office of the MOH
- Receive, record, and distribute correspondence
- Organize and schedule meetings
- Prepare information folders and briefing notes
- Respond (and refer when appropriate) to inquiries from staff and external organizations. (i.e., Ministry of Health)
- Track on-going projects for timelines and developments
- Conducting usage/cost comparisons for budgetary reference
Human Resource Management:
- Provide administrative assistance with the recruitment and selection process (i.e., schedule interviews, preparing documents)
- Prepare and develop new employee sign-on packages and orientations
- Develop and distribute Employee Data Forms
- Maintain and update Performance Appraisal schedules
Financial:
- Process Accounts Payable/Receivables for department
- Coordinate the purchasing of all supplies and services for program area
- Assist in budget processing by conducting inquiries and generating financial reports
General:
- Incumbents must keep up-to-date on all relevant legislation, collective bargaining agreements, County Policies and Procedures, etc. ensuring that these are implemented as prescribed
- Incumbents must possess the physical ability to meet the duties and responsibilities of the job description and/or the requirements identified within the position’s Physical Demands Analysis

- A 2-year Community College Diploma in Business/Office Administration or the equivalent
Experience
- 1-2 years of experience within an office setting
- Knowledge and experience with accounting practices and procedures
- Proficient in all Microsoft Office programs,
- Experience with accounting programs is an asset
- Must possess diplomacy, tact, and strong communication (verbal and written) skills
- Demonstrated ability to establish priorities and manage time efficiently
